Privacy Notice
Purpose
This privacy notice explains how and why we use your personal data and your rights in respect of your data in relation to the General Data Protection Regulations (GDPR).
Why we need to collect information about you
The legal basis for this firm requiring information about you is in order that we may fulfill our contract with you i.e. the provision of legal services.
Also, in compliance with our legal obligations and regulatory requirements, such as anti-money laundering regulations, that we are required to comply with and which require collecting personal information about you, for example proof of identity by way of your passport or driving licence.
Further, under what the GDPR terms as a ‘legitimate interest’ we are required to retain and store your file of papers for a certain period of time after the conclusion of your matter.
Should you not be willing to provide us with the information we require then we will not be able to act for you.
We require you to update us with any changes to your personal information, such as address, bank details etc, in order that we may update our records and only retain your information that is relevant and current.
Sharing your data
The matter on which you instruct this firm may require us to pass your personal information to third parties, for example, in the purchase of a property to a surveyor, or to a medical expert in a personal injury case. In such circumstances the organisation that we pass your information to would also have to be GDPR compliant and therefore act responsibly with respect to your personal data.
Please note that we would only pass your data on in order to be able to progress your matter and we would never sell your data to a third party.
How long will we retain your data
Due to statutory provisions and regulatory requirements once your matter has been completed we are required to retain your file (which will include your personal data) for a minimum of 6 years and in some instances significantly longer.
Accessing your data
Throughout the period that you instruct this firm, as well as during the time we retain your file after completion of your matter (as set out above), you have the right to access your personal data.
You also have the right to request the erasure of your data held by this firm, or request that our processing of your data, such as to third parties (see above), is restricted. We shall endeavor to comply with such requests subject to the constraints of our regulatory obligations and legitimate interests.
Complaints
Should you be dissatisfied with the way the firm holds your data, or how it deals with any request by you in respect of your data, then you have the right to complain to us at the addresses below or to the Information Commissioner’s Office in the UK at www.ico.org.uk
